If the customer wants the call recording option then you will have to enable the service and set up the parameters for the customer in the portal. We refer to the call recording module as the VIP Vault.
The system only records calls to and from external numbers. It does not record calls between internal extensions.
The customer can access their call recordings by logging into the portal with their own credentials. Please refer to the separate “How to access call recordings” user guide.
Call recordings consume storage space on our servers and we charge you – the reseller – for the cost of this space used at £1 per month per Gigabyte. As a rough guide 1GB of storage is enough to store about 2,000 minutes of speech. On average a telephone user will spend about 400 minutes per month making and receiving calls. So each user (on average) will consume 1GB of space in 5 months.
You and the customer need to come to agreement on how many months to keep call recordings so that you can estimate the storage requirement. You can set a cap on the storage space for the customer or you can allow the store to expand indefinitely. If you cap the storage space then new recordings will overwrite the oldest recordings when the storage space fills up.
You can also specify which of the customer’s telephone extensions are to be excluded from the call recording regime. For example - senior managers might not want their calls to be recorded.
Click on the Customers tab on the portal main menu.
Search for the customer then click on the View button on the appropriate record.
Go to the VoIP services block at the top right of the screen and click on the VoIP service record which identifies the URL of the customer’s VoIP server.
Click on Edit VIP Vault.
If you do not want to restrict the amount of storage space for call recordings then tick the box marked Allow vault to grow indefinitely. Otherwise enter the amount of space required in Gigabytes. You can edit this at any time.
Select any extensions which are to be excluded from call recording. All extensions will be recorded by default unless you specify otherwise.
When you have set the desired parameters then click Save.
